They describe feeling heard and respected, having room to be creative and grow, and being proud of the part they play in helping people heal. That reflects how we value administration: as essential to a thriving counseling practice.
North End Wellness is a counseling center with two locations and 24 clinicians. We’re adding a fourth person to our strong administrative team in a full-time, remote position that combines approximately half-time scheduling and client coordination with half-time operational projects and systems improvement. It’s a job for someone who enjoys helping people, figuring things out, and turning ideas into something that works. You’ll have meaningful responsibilities to take ownership of, colleagues to collaborate with, and opportunities to keep growing. We’re looking for som

What makes working at NEW different?

● A meaningful voice in how we work: Admin are included in decisions that affect their responsibilities and encouraged to help shape our systems. You’ll have room to offer ideas, use your judgment, and make improvements within agreed priorities, with support when you need it.
● Attention to your well-being: We pay attention to workload, fair compensation, clear communication, and shared responsibilities. A healthy, sustainable work experience for admin helps the whole practice function well.
● Development beyond learning the job: Along with training in our practice and procedures, the owner regularly leads sessions on communication, decision-making, project completion, and thoughtful AI use. As NEW grows and evolves, we want our team to grow with it.
● Connection as part of the workday: Regular meetings and ongoing communication keep our remote team connected. The owner also supports time together through paid team lunches and in-person coffee meetings when location allows.

The Job: People, Projects, and Problem Solving

You’ll report to the practice manager and agree on priorities, scheduling duties, and coverage within the role’s scope and available time.
● Scheduling and coordination: Arrange appointments, respond to calls and messages, and guide clients through next steps. Coordinate with clinicians and scheduling colleagues, maintaining accurate records and clear handoffs.
● Project execution: Plan agreed projects, identify dependencies and risks, coordinate contributors, and verify completed work.
● Systems and technology: Investigate recurring problems and implement approved improvements using AI, software, and usable trackers, templates, and procedures. Check that changes help the people using them.
● Progress and priorities: Communicate progress without prompting, flag competing demands, and seek approvals when needed.

Who we’re looking for: Capability and character

Both your work quality and how you work with others matter. We’re looking for:
● Project management and initiative: Experience completing projects independently, balancing daily responsibilities, and reliably following through on commitments.
● Creative problem solving: Investigate causes, consider alternatives, and anticipate effects on people and systems.
● Practical AI proficiency: Experience using AI beyond basic drafting to explore problems, test assumptions, compare options, and plan projects or workflows. Provide context, refine your approach, and verify results.
● Technology and learning: Confidence with documents, spreadsheets, and collaboration tools; ability to learn systems, troubleshoot, and recognize when help is needed.
● Warm, composed communication: Listen patiently and explain next steps to callers who may be anxious or overwhelmed. Maintain boundaries and involve a clinician or supervisor when needed.
● Professional quality and judgment: Write clearly, check accuracy, and deliver usable work. Follow approved AI, confidentiality, privacy, and security practices.
● Collaboration and accountability: Bring honesty, kindness, and respect. Welcome feedback, own mistakes, and care about colleagues’ experience working with you.
